The Engagement
Section titled “The Engagement”The engagement is the core unit of work in Servantium. It represents every client project from the first conversation through delivery and close-out.
An engagement captures:
- Client and stakeholder information
- Scope and deliverables (via quotes)
- Resource assignments and capacity
- Notes and context from every interaction
- Documents generated from your scoped work
- Learning data — what actually happened vs. what you estimated
The Engagement Lifecycle
Section titled “The Engagement Lifecycle”Every engagement flows through six phases:

| Discovery | Understand client needs, capture context |
| Estimation | Build structured scope and pricing |
| Proposal | Generate deliverables from your estimate |
| Activation | Win the deal, assign the team |
| Delivery | Execute with real-time visibility |
| Learning | Capture outcomes, feed back into future estimates |
The key insight: learning feeds back into discovery. Each completed engagement makes your next estimate more accurate.
Quotes
Section titled “Quotes”A quote is a structured pricing breakdown within an engagement. Quotes are built from:
- Groups — Sections like “Discovery & Requirements” or “Implementation”
- Line items — Resources (people), materials, or fixed fees within each group
- Markup — Applied per item or per group to reach your target margin
Quotes calculate cost, markup percentage, and total estimate automatically.
Resources
Section titled “Resources”Resources are your team members. Each resource has:
- A role (Lead Consultant, Solution Architect, Developer, etc.)
- A cost rate (your internal cost)
- Availability across time periods (month, week, day)
Resource planning shows you who’s allocated where, highlights overallocation, and helps you staff engagements before they start.
Documents
Section titled “Documents”Servantium generates Statements of Work (SOWs) and other documents directly from your engagement data. Scope, deliverables, timeline, and pricing flow from the quote — no copy-pasting between tools.
Notes & AI
Section titled “Notes & AI”Notes capture context from every client interaction. Servantium uses AI to:
- Extract key entities (people, technologies, timelines, budgets)
- Surface patterns across engagements
- Improve estimate accuracy over time
